Annual Waiver 

In consideration of your accepting me/my child’s/family registration, I hereby for myself, my child, my family, my heirs, executors and administrators waive and release any and all rights and claims for damages I or my child or family may have against the Hilton Head Island Recreation Association, including all representatives who are in any way connected with the Association’s events/programs. Further, in the event of any injury, I do hereby give my permission and consent to authorize such First Aid and/or Medical and/or Hospital care or treatment as deemed appropriate. In addition, I am fully aware of the provisions covered by the fee for any event/trip/program I have registered for and I understand that if any emergency arises, and all additional expenses incurred must be borne or assumed by the participant. The Island Recreation Association has my permission to take photographs of my child or myself while using the Island Recreation or participating in any Island Recreation Association programs, special events and activities. I understand that these photographs may be used for the Island Recreation Association advertising through and not limited to brochures, flyers or newspaper articles. I have full and complete legal authority to sign on behalf of myself, family, and my child(ren).


Facility Rules 

PALMETTO ELECTRIC AND HILTON HEAD ROTARY GYM RULES AND REGULATIONS

  1. No excessive hanging on the rim. You break it, you buy it.

  2. Participants must wear sports-appropriate clothing. Shirts and athletic shoes (non-marking, no black soles) are required at all times.

  3. Participants under 13 years old must be under direct adult supervision. 

  4. Family friendly language and good sportsmanship are expected at all times. Rough housing, fighting, and horseplay are prohibited.

  5. Staff reserves the right to direct gym usage as deemed necessary and remove anyone form the facility who is found in violation of the rules or is disruptive to other guests.  

UPPER LEVEL FITNESS RULES AND REGULATIONS

  1. Family friendly language and good sportsmanship are expected at all times. Rough housing, fighting, and horseplay are prohibited.

  2. Participants under 13 years old must be under direct adult supervision. 

  3. Drinks (other than spill-proof bottled water) and food are not allowed on the track or around the track area.

  4. No book bags, fanny packs, jackets, etc., should be left lying on the floor. Island Rec nor its employees are responsible for lost or stolen property. Participants are encouraged to use the facility's lockers.

Staff reserves the right to direct gym usage as deemed necessary and remove anyone form the facility who is found in violation of the rules or is disruptive to other guests. 

VANLANDINGHAM WALKING TRACK RULES

  1. Inside lane designated for walkers; outside lane designated for runners. Runners pass on the outside and to the right.

  2.  No standing on walking track. Please move off of the track to take a break. Do not put equipment on the track.

FITNESS EQUIPMENT RULES

  1. Please wipe down equipment when finished. If someone is waiting, please limit your use of equipment to 30min.

  2. Users unfamiliar with the operation of the exercise machines should seek assistance from the Fitness Attendant on duty.

POOL RULES

All Rules And Requests Made By Lifeguard Must Be Followed- Lifeguard Has Final Authority

  1. Report medical issue to staff on duty

  2. No running on pool deck- walk at all times!

  3. No food or drink on pool deck

  4. Changing of clothes must occur in locker rooms and is not permitted on the pool deck.

  5. Shower before entering pool- persons with open cuts, sores, bandages, colds, coughs or infected eyes are not permitted in the pool.

  6. Persons in the water must wear acceptable swim suits. Jean shorts are not allowed.

  7. All children under the age of 3 years old must wear a swim diaper or plastic pants and a swim suit regardless of toilet training. No cloth or land disposable diapers are allowed.

  8. Non-swimmers must stay in shallow water area. Children under the age of 12 may be subject to a 25 yard swim test.

  9. Flotation devices (water wings, swim suits with floats ect.) are not allowed.

  10. Lap lanes are for continual swimming only

  11. Starting blocks are not recreational use, swim teams and rec staff only

  12. Dangerous practices are prohibited - such as but not limited to: patrons must not run on decks; climb, sit or jump from fences; dive in shallow water (less than 8 feet deep); dunk, push, pull or splash swimmers. Jumps are permitted feet first. Back jumps, twisting and flips are not permitted at any time

  13. Foul or abusive language will not be tolerated.

  14. No outside coaching or teaching is allowed

  15. Emergency procedures must be observed. Swimmers must leave the pool area immediately upon the signal or request of the lifeguard.


Membership Rules & Regulations 

CANCELLATION FEE

I/We acknowledge non-recurring pricing does not qualify for a cancellation fee. If I/we wish to terminate my/our recurring membership, I/we are subjected to a $50 cancellation fee. Island Rec Association has the right to waive the fee due to extenuating circumstances such as medical issues, death, and relocation. Additional documentation may be required.

GUEST PASSES AND GUEST POLICY

I/We acknowledge that guest passes are tracked with a punch card given to member at time of registering. Guests are required to check in to complete paperwork. Amount of guests passes and classes vary based on level of membership.

ABIDE BY ALL POSTED RULES

I/We acknowledge that by reading and signing this membership paperwork, I/we are agreeing to abide by all of Island Recreation Association’s, terms and conditions, and procedures.

MISSING/LOST SCAN CARDS

I/We acknowledge that there is a $5 replacement fee for lost scan cards. $5 fee for forgotten card after two warnings.

CHANGE OF MEMBERSHIP

Recurring memberships can be upgraded at any time. Memberships can be downgraded with 30 days notice.

MEMBER’S HEALTH WARRANTY AND USE OF EQUIPMENT

I/We acknowledge that I/we warrants and represents that I/we have no disability, impairment, or ailment preventing him/her from engaging in active or passive exercise or that will be detrimental or inimical to his/her health, safety, or physical condition if he/she does so engage or participate. It is further agreed that all exercises including the use of weights, number of repetitions, and use of any and all machines, equipment, and apparatus designed for exercising shall be at I/we sole risk. Not withstanding any consultation on exercise programs which may be provided by Island Recreation Association employees, it is hereby understood that the selection of exercise programs, methods and types of equipment shall be I/we entire responsibility. 

UNPAID BALANCES

All balances are to be paid in full or set up as recurring with Island Recreation Association. Any unpaid balance from membership fees, goods, or services past 30 days will result in automatic termination of membership and will require payment in full to be reinstated. I/We is obligated to pay any collection and/or legal costs incurred by Management pursuant to enforcing the financial obligations.

VALUABLES AND PERSONAL PROPERTY

Members are urged to avoid bringing valuables onto rec center premises. Management, its affiliates, or employees shall not be liable for the loss, theft of, or damage to the personal property of members or guests.


Park Rentals & Regulations 

  • Operating hours are 7am to sunset Monday through Sunday. Exceptions to operating hours can be made for approved events.

  • The Pavilions are available to reserve Monday through Sunday for a time block of four hours and limited to 200 people. Fee to use the shelter is $30/per time block.

  • The Island Recreation Association manages both the Jarvis Creek Park and the Sailing and Rowing Center at Squire Pope Community Park. The Association’s employees have the authority and will enforce all rules and regulations governing the use of the Parks.

  • No outside equipment such as bouncy houses, slides, tents, grills/cookers or any kind of outside entertainment equip- ment is allowed at Jarvis Creek Park or Squire Pope Community Park.

  • Groups and individuals using the parks will be expected to leave the park clean and in good condition. All waste paper and litter must be put in the proper receptacles. All trash that does not fit into trash receptacles need to be removed from the property after park rental. The Association and the Town of Hilton Head Island will not be responsible for any property that is left on the premises by individuals or groups using the parks. If the area rented is not cleaned and trash is left behind a charge of $100.00 will be charged to your credit card on file.

  • The Association reserves the right to deny any application and/or negotiate any or all charges, deposits and fees as deter- mined to be in the community’s best interest.

  • Any organization, group, or person using the parks will be held responsible for any and all damages that may occur as a result of improper use. Any organization, group or person improperly using the parks may be banned from future park usage. If the park or associated facility is damaged as a result of a rental or event, the cost of labor and materials used for repair will be charged to renter.

  • Persons using the park shall obey all posted signs.

  • The Island Recreation Association must first approve any decorations and the placement of such. No person(s) shall willfully mark, deface, disfigure, tamper with, displace or remove any part thereof of the parks.

  • Any activity in the parks must be conducted according to applicable laws, policies and procedures.

  • The Association approves all rental requests.

  • Appeal: In the event an applicant is denied approval for a non-special event (an event anticipated to have five hundred [500] or less people at any one time), an appeal may be made to the Town Manager. The Town Manager shall make a deci- sion within seven (7) days granting or denying the appeal. The Town Manager’s decision shall be final.

  • In the event an applicant is denied approval for a special event (as defined in Town Code Section 17-12-115 [a (1), (2), (3)]), an appeal shall be made in accordance with Town Code Section 17-12-124.


Childcare Rules & Regulations 

ISLAND RECREATION ASSOCIATION HANDBOOK AGREEMENT
I have read the Island Recreation Association Summer Camp Handbook and understand and agree to the policies and procedures given. 

SWIMMING PERMISSION FORM
I give my permission for my child to swim at the Island Recreation Center pool. I understand that the Summer Camp counselors will be present and swimming with my child and the pool will be monitored by lifeguards employed by the Island Recreation Association.

FIELD TRIP PERMISSION FORM
I give my permission for my child to attend any field trips to be taken during Summer Camp or After School Recreation Club with the Island Recreation Center Staff. I understand they will be driven in vehicles owned by the association or rented bus is driven by licensed drivers. I also understand that the Island Recreation Center Directors will drive these vehicles.

CONTACT AND MEDICAL INFORMATION
I have provided the Island Recreation Association with the correct contact and medical information for my child(ren). I will contact the Rec Center immediately if there are any changes in my child(ren) medical history or if there are any changes in contact information for myself or the emergency contacts.


Additional Association Policies 

  • REGISTRATION POLICY
    Anyone with a past due balance in our child care program will not be able to register for the summer camp until the balance in paid in full.
    Anyone with a past due balance who has been granted a scholarship for extra-curricular activities (i.e. soccer) will be required to pay full price until past due balance is paid in full.
    There will be a fee of $20 assessed for any returned check.

  • CANCELLATION POLICY
    Refunds will be given for cancellations made before the start of the program. Administration fees may be assessed.
    After the program has begun, refunds will be given at the discretion of the program director and/or business manager.

  • TRANSGENDER POLICY
    The Island Recreation Association provides inclusive programs to all children who differ in various characteristics.  We don't discriminate regardless of race, color, religion, age, sex, sexual orientation, gender identity, gender expression, national origin or ability.
    The Island Recreation Association allows transgender children to participate in recreational programs which correspond to their gender identity on a case by case and season by season basis, and with the Island Recreation Association's Board approval.
    For registration purposes on gender-based programs, a child may register with the gender and name with which the child identifies and confirmation sufficient for guaranteeing access shall be satisfied by documentation or evidence that shows the stated gender is sincerely held, and part of the child's core identity.

ZERO TOLERANCE POLICY
Coaches, parents, participants and fans are required by the Hilton Head Island Recreation Association to abide by a strict code of prudent behavior at Recreation Center activities. Any conduct outside these lines will force the Association to take necessary action.

Examples of non-prudent behavior would include, but are not limited to, the following: 

  1. Fighting

  2. Abusive Language (Can Be Nonverbal)

  3. Confronting a Referee/Umpire/Staff Member

  4. Unsportsmanlike Conduct

  5. Misuse of Equipment

Examples of necessary action would include, but are not limited to, the following: 

  1. Asked to Leave the Area Immediately

  2. Prohibited from Recreation Association Sponsored Programs for a Set Period of Time
